By registering for the EMDRIA Conference, you agree to the following Terms & Conditions.
Registration & Payment
Registration is required to attend the EMDRIA Conference. All registration fees must be paid in full at the time of purchase.
Registration rates are based on your EMDRIA™ membership status at the time of registration. Membership must be active and current (not expired) to qualify for member rates. Registration is subject to availability and is confirmed only upon receipt of full payment.
By completing registration, the attendee (“Participant”) acknowledges that they have read, understood, and agreed to be bound by these Terms & Conditions, as well as all conference policies, codes of conduct, and any venue‑specific rules. Registration constitutes acceptance of these terms on behalf of the Participant and, if applicable, their organization.
Badge sharing, splitting, and reprints for these purposes are strictly prohibited.
Cancellation & Refund Policy
If a registered attendee can no longer attend, they can cancel their registration.
Cancellations must be submitted via the official online Cancellation Form. Requests will not be accepted by phone or email. Refunds (minus a $100 processing fee) are available for cancellations submitted on or before July 1, 2026. No refunds will be issued after July 1, 2026.
Conference Changes
EMDRIA reserves the right to modify conference programming, including session content, speakers, or scheduling, as needed. Changes may occur without prior notice.
In the event that the conference is canceled, registrants may request a refund or credit of registration fees. EMDRIA is not responsible for travel, lodging, or other related expenses incurred by attendees.
Session Selection & Seating
Session selection in the Whova app is for planning purposes only and does not guarantee a seat. This information is used solely to help organizers manage room capacity.
Seating is available on a first-come, first-served basis, and participants are encouraged to arrive early for high-demand sessions. The organizer reserves the right to adjust room assignments or close sessions once capacity is reached.
When a session reaches capacity, participants will be directed to alternative sessions. For safety reasons, participants are expected to respect room capacity limits and refrain from entering sessions that are already full.
Continuing Education (CE) Policy
Attendees must attend each session in its entirety to receive Continuing Education (CE) credit. Partial credit will not be awarded.
Use of Conference Materials, Recording & Privacy
Conference materials, including presentation slides and handouts, are provided for personal educational use only. Redistribution, reproduction, or sharing of materials is prohibited without explicit permission from the presenter.
Conference sessions may include client video or audio recordings for educational purposes. To protect the privacy and confidentiality of clients and presenters, attendees are strictly prohibited from recording, photographing, screen capturing, live streaming, transcribing (including via AI tools), or otherwise distributing any session content, in whole or in part, in any format.
Violations may result in removal from the conference and additional action as appropriate.
This restriction does not apply to EMDRIA’s authorized conference photography/videography outside of session content.
Unauthorized Promotion / Solicitation
To maintain a professional learning environment, solicitation and promotional activities by individuals or organizations (excluding exhibitors within their contracted booth space) are strictly prohibited, including by speakers and presenters.
Prohibited activities include:
- Displaying or posting signs,
- Distributing flyers or promotional materials,
- Leaving brochures/leaflets/business cards in public areas,
- Placing materials on tables or chairs,
Or otherwise promoting products, services, programs, or events, except as expressly authorized in writing by EMDRIA.
EMDRIA reserves the right to remove unauthorized materials and may take additional action, including removal from the conference without refund.
Photography & Media Consent
By registering for and/or attending the EMDRIA Conference (including any affiliated events and activities), you acknowledge and agree that you may be photographed, audio recorded, and/or video recorded. You grant EMDRIA the right to use, reproduce, publish, distribute, and display your name, likeness, voice, and image, in whole or in part, in photographs, video, audio, electronic reproductions, and other media now known or later developed, for lawful association purposes such as conference documentation, education, news, marketing, and promotion, in any format and through any channels, worldwide, in perpetuity, without further notice, review, approval, or compensation.
If you would like EMDRIA to remove a photograph or recording of you from EMDRIA-controlled channels (e.g., EMDRIA websites, emails, social media, and marketing materials), please contact EMDRIA in writing (events@emdria.org) with sufficient detail to identify the content, and EMDRIA will make reasonable efforts to honor such requests for future use; however, EMDRIA cannot guarantee removal from materials already produced, printed, distributed, shared by third parties, archived, or otherwise beyond EMDRIA’s control.
Health & Safety
Attending an in-person conference involves inherent risks, including exposure to communicable illnesses and other risks associated with travel and large gatherings. You agree to follow all applicable laws, venue rules, and EMDRIA conference policies, and you agree not to attend if you are experiencing symptoms of a contagious illness or have been advised to isolate. EMDRIA reserves the right to deny entry to, or remove from the conference, any participant whose conduct is unsafe or disruptive or who fails to comply with applicable rules or policies.
Community Standards (Code of Conduct)
All participants are expected to engage in a respectful, professional, and inclusive manner.
Harassment, discrimination, or disruptive behavior will not be tolerated. EMDRIA reserves the right to remove any participant without warning or refund for violations of these standards.
To report a concern during the conference, contact EMDRIA at events@emdria.org or notify conference staff.
Assumption of Risk & Limitation of Liability
You understand and voluntarily assume all risks related to attending the EMDRIA Conference and any affiliated events and activities, including (without limitation) risks of illness, exposure to communicable disease, personal injury, property loss or theft, and risks arising from travel, venue conditions, and interactions with other attendees. To the fullest extent permitted by law, EMDRIA, its officers, directors, employees, agents, volunteers, contractors, and affiliates will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, revenue, or data, arising out of or related to the conference or your participation. EMDRIA’s total liability for any claim arising out of or relating to the conference will not exceed the amount of registration fees you paid to attend the conference. Nothing in these Terms & Conditions limits liability to the extent it cannot be limited under applicable law.
Indemnification
You agree to indemnify, defend, and hold harmless EMDRIA, its officers, directors, employees, agents, volunteers, contractors, and affiliates from and against any claims, liabilities, damages, losses, and expenses (including reasonable attorneys’ fees) arising out of or related to (a) your attendance or participation in the conference, (b) your violation of these Terms & Conditions or any applicable law or venue rule, or (c) your negligence or willful misconduct.
Force Majeure
EMDRIA is not liable for delays or cancellations due to circumstances beyond its control, including but not limited to natural disasters, public health emergencies, or other unforeseen events.
Accessibility
EMDRIA is committed to providing an accessible and inclusive experience. Participants requiring accommodations are encouraged to submit requests as early as possible. While every reasonable effort will be made, accommodations cannot be guaranteed. Please contact us in advance at events@emdria.org.
Grievance Procedure
EMDRIA is committed to providing high-quality educational experiences and a respectful, inclusive environment for all participants. Attendees who have concerns related to course content, speakers, facilities, or any aspect of the conference may submit a grievance in writing to info@emdria.org. All grievances will be reviewed in a timely and confidential manner, and appropriate steps will be taken to address the concern in accordance with EMDRIA’s established procedures.
Privacy & Data Use
Personal information collected during registration will be used for conference administration, communication, and logistics. Data may be shared with vendors or service providers supporting the event. Data will be handled in accordance with the organizer’s Privacy Policy.
Governing Law
These Terms & Conditions are governed by the laws of the state in which the organizer is headquartered, without regard to conflict‑of‑law principles.
Updates to Terms
The organizer may update these Terms & Conditions at any time. The most current version will be posted on the registration website and will apply to all participants.
